Match the material to the task
Choose a small amount of current, relevant information for the client’s question. A link to the approved listing can be more useful than a long sequence of disconnected images, particularly when details may change. Confirm the destination is accessible before sending it.
Use a clear sentence explaining the link or photo and the action you need from the client. Do not rely on a preview image to carry the appointment date or other essential detail.
Test the plan and the fallback
Check media support on the tier you intend to buy. Some starter plans are text-only, and a change of channel can alter what the recipient receives. Ask about file limits, supported formats and whether an attachment changes the bill.
Use consenting test participants to inspect the result on relevant devices. Record whether the link opens, the image is legible and the conversation remains associated with the right client record.
Keep a simple alternative ready
Write a plain-text version containing the essential property reference and next step. If media fails, confirm the outcome before sending a replacement; repeated sends can make the exchange confusing.
Retain the successful example and its configuration in the team’s operating notes. Recheck it after changing the plan, connector or device setup, especially when the workflow depends on equipment your own office maintains.
